A multi-country luxury fashion, fragrance and accessories group operating retail stores and e-commerce in Spain, Portugal and the Netherlands migrated from a heavily customized Dynamics AX 2009 to Dynamics 365 Finance & Operations with Awara IT as implementation partner. The objective was to replace an end-of-life on-premise ERP with a single cloud platform that supports finance, treasury, procurement, warehouse logistics, retail POS synchronization and e-commerce.

Awara IT led the phased migration, delivered real-time stock synchronization between back office and POS, integrated 3PL operations and modernized financial processes. The project reduced manual reconciliations, shortened month-end close and provided a stable integration layer for omnichannel sales and import-heavy procurement, enabling clearer financial control and improved customer availability across markets.

The business operates physical stores, franchise/partner locations and e-commerce channels across Spain, Portugal and the Netherlands, with centralized finance and distributed warehouse and retail operations in Western Europe.

The client was running Dynamics AX 2009 with extensive customizations and a fragmented IT landscape. Core pain points included slow, batch-based stock updates between the ERP and POS, manual reconciliations across sales channels, and lengthy month-end financial close processes. Treasury, supplier/customer settlements and import handling were paper- and spreadsheet-driven, increasing operational risk for a business with frequent international shipments and third-party logistics.

Operational teams lacked a single source of truth for inventory and sales, which drove overstocks, stockouts and inaccurate financial postings. The legacy platform also constrained reporting, budgeting and timely cash‑flow visibility, limiting management’s ability to make channel-level pricing and allocation decisions during high seasonality periods.

Dynamics 365 Finance & Operations (Dynamics F&O) was selected because it combines core finance and advanced supply chain capabilities in a single cloud-native platform, reducing integration overhead for retail and e-commerce scenarios. The client required strong support for general ledger, treasury, procurement and warehouse processes along with robust APIs and middleware options to synchronize POS and 3PL data in near real time.

Additional selection criteria included seamless Microsoft 365 and Azure integration for identity and analytics, a clear upgrade path from legacy AX, and out-of-the-box localization options for VAT, statutory reporting and multi‑language requirements in Spain, Portugal and the Netherlands. The Power Platform and Power BI were scoped to accelerate reporting and user self-service without heavy custom development.

Where required, Awara IT configured electronic reporting exports and compliant tax mappings to support local authorities and tax engines, plus intrastat and cross-border VAT handling for intra‑EU shipments. Multi-currency and multi‑ledger posting patterns were implemented to meet consolidation and local statutory needs.
