Protectimus, a provider of two‑factor authentication solutions operating across Ireland, Spain, Gibraltar, the UK and the USA, engaged Awara IT to replace fragmented accounting processes with a single, auditable financial platform. The objective was pragmatic: automate accounting across Sales & Receivables, Purchases & Payables, Bank & Cash, Inventory and Fixed Assets while enabling consolidated analytics for finance and executive teams.
Awara IT implemented Microsoft Dynamics 365 Business Central with targeted integrations for bank feeds, identity and sales systems. The project delivered a measurable reduction in manual reconciliations, accelerated month‑end close, and near‑real‑time cash visibility—creating a foundation that supports continued geographic expansion without adding proportional finance headcount.
Protectimus is a specialized IT/telecom vendor providing two‑factor authentication products and services. The company operates in Western Europe and the United States with commercial and finance processes spanning Ireland, Spain, Gibraltar, the United Kingdom and the USA. The engagement targeted a mid‑market organisation with cross‑border sales, hardware inventory and a growing subscription business.
Before the project Protectimus ran financial and operational processes across multiple systems and spreadsheets. Sales orders, hardware token inventory movements and vendor invoices required manual posting and reconciliations. The finance team spent significant time on manual journal entries, intercompany postings and bank reconciliations, which delayed reporting and obscured cash position.
Expansion into additional jurisdictions and a mixed revenue model (hardware sales, recurring subscriptions and professional services) increased complexity. Protectimus needed consistent VAT and tax treatment across EU/UK/US, automated handling of fixed assets (token procurement and depreciation), and reliable analytics for pricing and margins. The trigger for change was the need to shorten close cycles, reduce error rates, and provide the CFO and commercial leaders with timely, consolidated insights.
Microsoft Dynamics 365 Business Central was selected because it consolidates core finance and supply chain capabilities in a solution suited to mid‑market software and hardware vendors. Business Central aligns with Protectimus’s existing Microsoft stack (Azure and Microsoft 365), which simplified identity, security and user management through Azure AD and reduced integration risk.
The selection criteria focused on: native multi‑currency and statutory reporting, modular finance functionality to cover receivables/payables/GL/bank, inventory and fixed assets, and extensibility through Power Platform for reporting and process automation. Awara IT was engaged as the implementation partner due to its Dynamics 365 expertise and ability to deliver cross‑border localization and integrations.
The implementation included local tax and statutory settings for VAT and invoicing formats across Ireland, Spain, Gibraltar and the UK, and a configuration to handle US tax treatments for domestic sales. VAT posting groups, reverse charge handling for intra‑EU transactions and country‑specific invoice numbering were configured to meet local requirements. Data handling and residency considerations were addressed with Microsoft cloud controls and GDPR‑aligned processing for EU regions.
Protectimus gained an auditable, single source of truth for financials and inventory, enabling the finance team to shift focus from data reconciliation to variance analysis and business partnering. Faster close cycles improved decision cadence for pricing, margin management and working capital planning, while automated bank and payment reconciliations reduced operational risk and manual effort.
By standardising processes in Dynamics 365 Business Central and integrating key sales and banking systems, Protectimus can scale into new jurisdictions with a repeatable deployment pattern and reduced compliance friction. The platform also provided a foundation for future automation through Power Platform and additional commerce integrations.
