The result was a single source of truth for financials, automated bank reconciliation across six banks in multiple countries, and a flexible data importer able to normalize varied onboard system feeds. Finance leaders gained visibility into tour profitability and faster month‑end close, enabling more accurate forecasting and operational cost control across the company’s Cyprus‑based operations and Western Europe itineraries.
SWAN HELLENIC is a Cyprus‑based tourism and hospitality operator specializing in expedition and small‑ship cruises, operating across Western Europe. The project focused on the company’s finance function and fleet-level financial consolidation.
Financial teams lacked consistent transactional detail from ships and third‑party suppliers, producing delayed and manual journal entries, ad‑hoc spreadsheets and limited insight into cost drivers per tour. Multiple local bank accounts across jurisdictions increased reconciliation complexity and tied up treasury staff in manual matching and exception handling.
Onboard systems produced heterogeneous data formats and intermittent connectivity. The business needed a solution to ingest variable shipboard data, standardize it into the general ledger, and provide accurate, timely management reports so CFO and operational managers could assess tour profitability and control operating costs.
Microsoft Dynamics 365 Business Central was selected for its integrated finance core, multi‑currency capabilities and proven fit for mid‑market hospitality and transportation finance operations. The product's native accounting, cash management and reporting modules addressed the need for a unified general ledger and faster close.
Awara IT recommended Business Central because of its extensibility for custom integrations (bank feeds, shipboard systems), cloud hosting options and a roadmap compatible with Microsoft 365 and Power Platform for reporting and process automation. As the implementation partner, Awara IT designed a conservative, phased approach to minimize disruption to ship operations and ensure rapid benefit realization.
The implementation included multi‑currency handling and configuration for Cyprus tax rules and VAT reporting where required. Because SWAN HELLENIC operates internationally, the solution supported country‑specific bank statement formats and ISO‑20022/MT compatibility where applicable. Language preferences and statutory reporting requirements were configured to meet Cyprus financial reporting standards while preserving consolidated views for Western Europe operations.
By centralizing finance operations in Dynamics 365 Business Central and integrating shipboard systems and bank feeds, SWAN HELLENIC reduced manual effort in reconciliation and data consolidation. Finance staff were reallocated from transactional processing to analysis, enabling faster decisions on pricing, itinerary cost control and procurement. Improved cash visibility reduced treasury risk when operating multiple bank accounts across jurisdictions.
The project delivered actionable tour‑level cost and revenue analytics, supporting route optimization and margin improvements. Consolidated, timely reporting also improved stakeholder confidence and supported more accurate short‑term cash forecasts for fleet operations.
