Dentsu engaged Awara IT to replace fragmented, email-driven brief management with a single, measurable workspace. The project delivered "Benefitis", a Power Apps solution embedded in Microsoft Teams that centralizes briefs, comments, attachments and version history while providing actionable performance metrics for HR and account teams.

Awara IT implemented the solution to reduce turnaround on client briefs, remove ambiguity from cross-functional handoffs, and provide leaders with task-level visibility and KPIs. The result is a repeatable, low-code platform aligned with the customer’s Microsoft 365 estate and ready for future Dynamics 365 integrations.

Before Benefitis, communication between customers and functional departments relied on ad-hoc emails, scattered attachments and inconsistent brief versions. Account teams spent time reconciling inputs from multiple stakeholders; HR lacked objective measures of task performance across creative, strategy and production functions.

Key operational pain points included: no single source of truth for briefs, limited ability to attach and track supporting files, unclear ownership for brief updates, and a lack of automated notifications inside the Teams workspace where most collaboration occurred. These issues caused delays, duplicate work and difficulty measuring team throughput and quality.

Dentsu’s existing Microsoft footprint—Power Platform and Microsoft Teams—made a low-code approach the fastest path to value. Awara IT recommended Power Apps and Dataverse to deliver a secure, auditable data model that could be embedded in Teams for immediate adoption while remaining interoperable with Dynamics 365 modules if needed later.

Selecting a Dynamics 365 partner with Power Platform expertise ensured governance, single sign-on and extensibility. Awara IT’s implementation approach prioritized rapid delivery, compliance with Japanese data handling requirements, and a roadmap for optional Dynamics 365 Customer Engagement or HR integrations as business needs evolve.

The solution was localized for Japan: all user interfaces and notifications were delivered in Japanese, and date/time formats, work week definitions and character encoding support were validated for Kanji and multi-byte input. Awara IT validated storage and processing against local expectations for data residency and privacy.

Architecturally, the implementation used Microsoft 365 services that can be scoped to Japan datacenters where required, and Awara IT documented handling of personal data in line with Japan’s Act on the Protection of Personal Information (APPI). Role-based access ensured only authorized staff could view client-sensitive fields.

Benefitis reduced manual coordination and decreased brief turnaround time by consolidating brief creation, comment threads, attachments and version control into a single Teams-embedded workspace. For HR and account leadership, automated metrics and Power BI dashboards replaced sampling-based assessments with continuous visibility into workload and completion quality.

The low-code Power Platform implementation minimized custom infrastructure, keeping total cost of ownership conservative while enabling future integration with Dynamics 365 modules for client relationship and resource planning. The result is a measurable productivity uplift and a documented roadmap for scaling the solution across additional markets.
