VETPROM migrates from NAV 2009 to Dynamics 365 Business Central

VETPROM, a regional pharmaceutical company operating in Bulgaria, Vietnam and Kazakhstan, moved from an aging NAV 2009 instance to Microsoft Dynamics 365 Business Central to create a single source of truth for finance, supply chain and reporting. The project targeted consolidation of statutory reporting, standardized operational processes across three countries, and integration with a warehouse management system used in production and distribution hubs.

Awara IT led the implementation, providing functional design, localization for each country, data migration and integrations. The outcome: a unified Business Central platform that reduced financial close time, improved inventory accuracy, and delivered consolidated management reporting for group leadership and local statutory needs.

Client / Industry / Country

VETPROM is a pharmaceutical company headquartered in Bulgaria with commercial and operational presence in Eastern Europe and Asia (Vietnam and Kazakhstan). The company operates manufacturing, distribution and wholesale functions supporting regulated pharmaceutical products.

Business challenge

VETPROM’s NAV 2009 environment was fragmented and heavily customized to meet local needs over many years. Each country maintained distinct operational standards, master data sets and reporting processes, which caused manual consolidation, frequent reconciliation efforts and limited visibility for group finance.

Key pain points included prolonged month-end close driven by manual intercompany eliminations and bank reconciliations, inventory discrepancies between warehouse and ERP, and inconsistent procurement and planning processes across sites. Regulatory reporting requirements and bank file formats differed by country, increasing overhead for the small central finance team and exposing the business to compliance risk.

Why Dynamics 365 was selected

VETPROM selected Microsoft Dynamics 365 Business Central to replace NAV 2009 because Business Central offered a modern cloud-capable architecture, native integration with Microsoft 365 and Power Platform, and an upgrade path from NAV that preserves core financial and supply chain logic. The decision prioritized a single platform that could be configured for country-specific statutory needs while enabling centralized master data and consolidated reporting.

Awara IT was chosen as the implementation partner for its experience migrating NAV customers to Business Central and for delivering local Bulgarian statutory expertise. The criteria included reduced total cost of ownership, improved supportability, faster reporting, and the ability to integrate standard WMS solutions and banking interfaces used by VETPROM’s distribution partners.

Modules implemented

  • Core Finance (General Ledger, Fixed Assets, Accounts Payable, Accounts Receivable)
  • Banking and cash management (bank reconciliation, payment formats)
  • Supply Chain Management (inventory, replenishment, planning)
  • Sales and CRM fundamentals (order-to-cash)
  • Procurement and purchase management
  • Warehouse Management integration (WMS)
  • Manufacturing (basic production orders and BOM management)
  • Master Data Management (items, vendors, customers)
  • Reporting and consolidation (Power BI + Business Central reports)
  • Power Platform components for workflow automation and approvals

Integrations

  • Third-party WMS via API for warehouse transactions and inventory accuracy
  • Banking interfaces for Bulgaria and region-specific bank file formats
  • Azure-based ETL for historical NAV data migration and master data cleanup
  • Power BI for consolidated group reporting and dashboards
  • Local payroll/HR exports (file-based interfaces) and vendor portals

Localization & compliance

The implementation included country-specific configurations for Bulgaria, Vietnam and Kazakhstan. For Bulgaria this meant VAT routines, local chart of accounts mappings, Bulgarian language labels and statutory reports aligned with the National Revenue Agency requirements. For Vietnam and Kazakhstan Awara IT implemented local tax settings, regional numbering and bank formats, and country-specific reporting templates to meet local statutory needs while preserving centralized master data.

All statutory reports and tax posting behaviors were validated with local finance stakeholders. Where required, Awara IT developed lightweight localization extensions to ensure legal compliance without compromising the ability to consolidate data centrally in Business Central.

Business value

Standardizing on Dynamics 365 Business Central delivered measurable operational and financial benefits. Centralized master data and automated intercompany processes reduced manual reconciliations and shortened the group close, giving finance leadership timely and reliable financials. Improved inventory accuracy and a WMS integration reduced stock write-offs and improved order fulfillment performance across distribution centers.

Operational standardization also reduced overhead for local sites by replacing bespoke NAV customizations with configurable Business Central processes and lightweight local extensions. The consolidated reporting layer provided visibility for senior management to make faster decisions on procurement, production and working capital allocation.

Awara IT helped us move from a fragmented NAV landscape to a single Business Central platform that meets our statutory requirements and gives the group the financial visibility we needed. The project delivered faster closes and far fewer manual reconciliations. — Petar Ivanov, CFO, VETPROM
