EFES Mobile Retail Audit with Dynamics 365 Business Central

EFES operates a distributed network of retail outlets and production facilities where merchandisers collect outlet-level stock and sales data to inform brewing plans. Manual audits, inconsistent data capture and delayed sync into the ERP produced planning blind spots across Kazakhstan and Turkey. Awara IT implemented a mobile retail audit using Microsoft Power Platform, tightly integrated with Dynamics 365 Business Central, to provide field teams and planners with timely, structured outlet intelligence.

The solution combines an offline-capable Power Apps mobile app for merchandisers, a desktop administration console, and automated flows to post validated inventory and audit records into Business Central. The result: faster outlet audits, near real-time visibility for production planners, measurable productivity gains for field teams, and a simplified administration experience for regional operations.

Client / Industry / Country

EFES is a beverage manufacturer operating across Kazakhstan and Turkey with multiple production sites and a broad retail distribution footprint in the Middle East region. The company runs centralized production planning while relying on merchandisers and auditors to capture outlet-level inventory and execution data.

Business challenge

Merchandisers were conducting outlet audits with paper forms or basic mobile notes, resulting in incomplete records, transcription errors and long delays before data reached the ERP. Production planners lacked timely visibility into on-shelf stock and sell-through at the point of sale, causing reactive brewing cycles and either localized stock-outs or excess production runs.

Field teams also required offline capability because many retail locations have intermittent connectivity. Management needed a consolidated archive of audits, per-user productivity metrics and a desktop administrative application to manage outlet lists, task templates and exception workflows. EFES engaged Awara IT to replace fragmented processes with a secure, auditable, and ERP-integrated mobile solution.

Why Dynamics 365 was selected

EFES already used Microsoft technologies and required an ERP backbone capable of handling inventory, sales orders and basic production planning at scale. Dynamics 365 Business Central was selected for core inventory, master-data management and financial posting because it provides standard APIs, localization support and a predictable upgrade path.

For the mobile audit and field workflows, Microsoft Power Platform was the natural fit: Power Apps for an offline-capable canvas app, Power Automate for reliable integrations, and Power BI for operational dashboards. Choosing Business Central plus Power Platform minimized custom middleware, shortened delivery time and leveraged the existing Microsoft stack for identity and governance, with Awara IT as the implementation partner.

Modules implemented

  • Dynamics 365 Business Central — Inventory & Warehouse Management
  • Business Central — Sales & Order Processing (master data sync)
  • Power Apps (Canvas mobile app, offline sync)
  • Power Automate (integration flows to Business Central)
  • Power BI (operational and productivity dashboards)
  • Administration desktop app (Power Apps desktop/Model-driven)

Integrations

  • Business Central REST APIs for inventory and master data
  • Azure Active Directory for SSO and role-based access
  • Power Apps offline sync and Dataverse mappings
  • Bing Maps for interactive outlet geolocation
  • Barcode/QR scanner SDK for SKU capture
  • Power BI datasets for planner dashboards and KPIs

Localization & compliance

Awara IT applied country-level localization for Kazakhstan and Turkey within Business Central and the surrounding solution. That included multi-currency handling, VAT/GST mapping for Turkish tax rules and correct currency formatting for Tenge and Turkish Lira. User interfaces were configured to support Turkish, Russian and Kazakh language preferences where required.

Data residency and protection requirements were addressed by securing mobile data at rest and in transit, enforcing Azure AD authentication, and aligning retention settings with local regulations. Financial postings continued to use the validated Business Central ledger to preserve auditability and legal compliance.

Business value

By connecting structured outlet audits to Dynamics 365 Business Central, EFES reduced the time between field observation and planner action, enabling more accurate short-term brewing schedules and fewer emergency production runs. The mobile app standardized data capture, reduced transcription errors and provided an auditable archive that supports both operations and commercial reporting.

Operational teams gained a lightweight admin console to manage outlets and task templates; regional managers received productivity dashboards that made coaching and incentive programs more objective. Collectively, these changes lowered lost-sales risk, improved resource allocation in production, and reduced manual reconciliation work in the ERP.

Awara IT delivered a practical mobile audit solution that integrates directly with our Business Central ERP. Field adoption was rapid and planners now receive timely outlet data to make better production decisions. — Aidar Sadykov, Head of Trade Marketing, EFES
