Safe, Effective Microsoft Copilot Adoption at Efes Kazakhstan

Efes Kazakhstan began a pilot of Microsoft Copilot to boost productivity across HR, compliance, and IT, but use emerged in an ad hoc, unsupervised way. Employees experimented with Copilot Chat, Copilot for M365 and Copilot Agent features without consistent prompting practices, governance, or awareness of data protection implications. That created uneven productivity gains and potential exposure of sensitive information.

Awara IT implemented a structured change-management and enablement program that combined governance, hands-on training, and targeted agent development. The outcome: organization-wide AI literacy, zero Copilot-related security incidents after rollout, and a production HR Copilot agent that reduced routine HR task time while improving employee experience and compliance awareness.

Client / Industry / Country

Efes Kazakhstan is a national brewing and beverage production and distribution company operating across Kazakhstan. The organization provides manufacturing, logistics and commercial services for a regional beverage portfolio and employs a multi-disciplinary staff across production, distribution and corporate functions.

Business challenge

Copilot capabilities were available, but employees lacked consistent knowledge about safe and effective use. Common pain points included poor prompting techniques, limited use of advanced Copilot features, and unrealistic expectations about where Copilot could replace expert judgement. HR and compliance teams were particularly concerned about accidental disclosure of personal data and inconsistent handling of confidential HR records.

IT and security teams had limited visibility into how Copilot was being used, and there were no formal policies or playbooks. Leadership needed a pragmatic plan to: rapidly increase AI literacy, define governance and DLP controls aligned with Microsoft 365, and develop practical Copilot agents that delivered measurable time savings without introducing new risks.

Why Dynamics 365 was selected

Efes Kazakhstan already used Microsoft 365 broadly across the enterprise, so selecting Microsoft Copilot and the Copilot Studio stack aligned with existing identity, content and collaboration systems. That single-vendor approach simplified governance, allowed reuse of existing SharePoint and Teams content sources, and reduced integration overhead compared with introducing a third-party generative AI platform.

Awara IT also scoped the program with an eye to future ERP and HR automation: Copilot agents and governance were designed to integrate cleanly with Dynamics 365 (HR/Finance) where applicable, enabling Efes to extend AI-driven assistance into transactional processes later with minimal rework.

Modules implemented

  • Copilot for Microsoft 365 configuration and policy templates
  • Copilot Chat tuning and prompt-engineering library (Copilot Studio)
  • Copilot Agent development — HR assistant (employee queries, document templates)
  • Governance: DLP rules, role-based access, and usage playbooks
  • Change management: training curriculum and AI Ambassadors program
  • Monitoring: logging, alerting and compliance reporting

Integrations

  • Microsoft 365 (Teams, Outlook, SharePoint) for content and collaboration
  • Azure Active Directory for identity, SSO and conditional access
  • Client HR system connectors (HRIS) for the HR Copilot agent
  • Prepared connectors and integration patterns for Dynamics 365 (HR/Finance) expansion
  • Security monitoring integration with Azure Monitor / SIEM

Localization & compliance

Awara IT designed the solution to respect Kazakhstan’s data protection expectations and Efes Kazakhstan’s internal privacy requirements. Where required, Copilot access was scoped to approved content repositories and conditional access enforced via Azure AD. Data Loss Prevention (DLP) controls and retention policies were applied to prevent inadvertent exfiltration of personal or commercial data.

Training materials and governance documentation were delivered in Russian and Kazakh as needed, and local HR and legal stakeholders validated agent responses and escalation paths to ensure alignment with national employment practices and internal compliance standards.

Business value

The program delivered measurable business value by converting a risky, chaotic pilot into a governed, scalable capability. Training and the AI Ambassadors network built internal capacity to extend and sustain Copilot use. The HR Copilot agent automated routine tasks and improved employee response times, freeing HR staff for higher-value work and accelerating HR service delivery.

Governance controls and monitoring reduced operational risk and gave IT and compliance teams timely visibility into usage patterns. The architecture and integration patterns make it straightforward for Efes to extend Copilot assistance into Dynamics 365-led processes in finance and HR as next-phase use cases.

Awara IT turned our ad hoc Copilot experiments into an organized, secure capability. Their combined focus on governance, training and a practical HR agent delivered quick, measurable improvements. — Aidar Nurmagambetov, CIO, Efes Kazakhstan
